Vendor-neutral does not mean indifferent. It means the recommendation begins with the customer’s requirements rather than a predetermined answer.

Build a weighted decision

Separate nonnegotiable requirements from preferences. Then weight the factors that affect successful use: functional fit, integrations, security and operational requirements, implementation approach, support, contract flexibility, provider stability, adoption effort, and total cost.

A score is not the decision. It makes assumptions visible so leaders can discuss why one factor matters more than another.

Test the hard parts

Demonstrations naturally focus on the smooth path. Ask providers to address real exceptions, migration constraints, reporting needs, support escalation, administrative work, and the process for changing or leaving the service.

  • Request evidence tied to your use case.
  • Compare implementation responsibilities line by line.
  • Clarify what is included, optional, or dependent on another provider.
  • Document the tradeoff behind each finalist.

Preserve choice after selection

Decision records, inventories, contract dates, configurations, and data ownership can preserve future flexibility. Plan support and renewal review before signing so the organization does not rediscover the original reasoning years later.
